Document reading and privacy

What happens when your document is read?

When you choose to have a receipt or invoice read automatically, we want you to know where the file is processed, what is sent to the provider, and what remains in your account.

In short

Checked by Paratiq first

The file is scanned for malware on our server before it is sent to the provider.

Masking is your choice

When enabled, the system blacks out sensitive fields it can detect in the image.

You make the final decision

You review and correct the extracted fields before deciding whether to save the transaction.

How the process works, step by step

  1. 1

The file is uploaded and scanned

The document is uploaded to the Paratiq server. Automatic reading does not begin unless the malware check returns a clean result.

  2. 2

Sensitive fields are masked if you choose

Masking runs on the Paratiq server. Detected fields are blacked out, and this processed image is sent to the provider.

  3. 3

    The provider reads the document

The image is sent to Groq. The provider extracts transaction fields such as the amount, date, and merchant and returns structured data to Paratiq.

  4. 4

The result is available for review

The extracted fields are stored with your account. You can review and correct them before creating a financial transaction.

What masking can and cannot do

Masking is enabled by default for new accounts, and you can turn it off for each upload or in your profile settings. Before the document is sent to the provider, it attempts to find and black out specific sensitive-data patterns.

Examples of fields it looks for

  • National ID, tax, MERSIS, and registration numbers
  • Card numbers, IBANs, authorisation codes, and reference codes
  • Phone numbers, email addresses, and detectable person names
  • Invoice numbers, terminal or merchant IDs, and licence plates

Masking is not a guarantee

Faded, blurred, angled, low-contrast, or unusually formatted information may not be detected. A field that is not detected will not be blacked out.

If masking was selected and the masking step cannot finish, the document is not sent unmasked; automatic reading stops.

Who processes the document?

Paratiq currently uses Groq as its processor for automatic document reading. Transfer and contract details are explained in the Privacy Policy.

No model training

Documents and results sent to Groq are not used for model training.

No provider retention

Zero Data Retention is enabled for Paratiq's account, so the provider does not store the image or extracted text.

Contract-bound processing

The data processing agreement includes the EU Standard Contractual Clauses and is binding on the provider.

What is stored?

Records in your account

The original document you uploaded and the extracted fields remain associated with your Paratiq account so you can review the result.

Temporary processing copies

Temporary image copies created for masking and provider-request optimisation are deleted when the processing attempt finishes.

At the provider

Because Zero Data Retention is enabled, Groq does not store the image it receives or the text it returns.

Your options stay visible

  • Turn masking on or off on the upload screen, and change your remembered preference from your profile.
  • Use the image editor to black out any area yourself before sending the document.
  • If you do not want the document sent to a provider, skip automatic reading and enter the transaction manually.
  • Review and correct automatically extracted fields before turning them into a financial transaction.
